Email Authoring

The Sparrow Connected Email feature provides an easy way to draft, schedule, and deliver targeted communications to your employee audiences. It offers flexible scheduling, audience selection, multi-language support, and test sending to ensure quality delivery.

Main Editor

Subject (Required Field)

The Subject is the primary line of your email and will appear as the email subject line in recipients' inboxes. You should keep your subject line clear and concise, ideally under 70 characters, to ensure full visibility across devices.

Body Text (Required Field)

This is the main content area of your email. There is no character limit, and this is a required field.

You can format your text using headings, bold, lists, links, and tables, similar to Sparrow’s post editor. To learn more about editing capabilities, view our Editor Capabilities article.

Languages & Translations

If your organization has multiple languages enabled, you can create localized versions of your email. Use the language dropdown to switch between languages, and the Translate button to generate a draft translation of your English version.

Preview, Discard, Save as Draft, Send

  • Preview – Opens a preview of what your email will look like when sent.

  • Discard – Exits the email without saving changes.

  • Save as Draft – Saves your current progress so you can return later without sending.

  • Send – Finalizes and sends the email based on your selected audience and schedule.

Email Details

From Address (Required Field)

The From field allows you to choose which email address the message will appear from. You can select from available custom sender addresses configured in your organization. These addresses are available to both Emails and Newsletters.

Reply Email (Optional Field)

Specify an email address here if you want recipient replies to go to a specific inbox. If no reply address is entered, replies will go to the From address by default.

Audiences (Required Field)

You can add one or more existing audiences as recipients. Click Add/Edit Audiences to select from your configured employee audiences.

A preview of recipient count is shown once audiences are selected.

Email Options

Send on (Schedule)

You can schedule emails to send at a specific future date and time. This time is in your local timezone.

If no date is selected, the email will send immediately after clicking Send.

Send Test Email

Before sending to your full audience, you can send a test version of the email to yourself or colleagues.

Enter up to 10 email addresses in the Send Test Email field.
Important – after typing each email address, press the Enter key to add it to the list.

Once your test recipients are entered, click Send Test Email.
This allows you to preview how the email will appear in Outlook, browsers, and on mobile before final delivery.

Save as Draft and Reopen

At any time, you can save your email as a draft. This allows you to come back and make changes or schedule it later. Drafts behave similarly to Post drafts in the platform.
